Refund Policy

Effective Date: September 21, 2026

Mooselax Lacrosse Club ("Mooselax," "we," "our" or "us") works hard to provide families with well-organized teams, training programs, clinics, tournaments and player-development opportunities.

When a player registers, Mooselax begins making financial and operational commitments based on that registration. These commitments may include roster spots, coaches, field and facility rentals, tournament registrations, insurance, uniforms, equipment, apparel, administrative costs and other expenses that cannot be recovered if a player later withdraws.

For those reasons, registrations and payments are subject to the following Refund, Cancellation and Credit Policy.

1. Agreement to This Policy

By registering a player or submitting payment for a Mooselax program, the registering parent or legal guardian acknowledges and agrees to this policy.

Any refund, credit or cancellation terms stated on a specific program's registration page will also apply. If program-specific terms conflict with this general policy, the program-specific terms will control.

2. General Refund Principles

Unless otherwise expressly stated:

  • Registration deposits are nonrefundable.
  • Tryout and evaluation fees are nonrefundable.
  • Drop-in and single-session fees are nonrefundable.
  • Payment-processing and transaction fees are nonrefundable.
  • Uniform, apparel and equipment charges are nonrefundable once the applicable item has been ordered, produced, personalized or distributed.
  • Tournament, insurance, facility and other third-party costs already committed on behalf of a player are nonrefundable.
  • Refunds are not provided for sessions, practices, games or other services already delivered.
  • Approved credits have no cash value and may be subject to an expiration date.

A player's decision not to attend or participate does not automatically cancel the registration or remaining payment obligations.

3. Club-Team Registrations

Accepting a position on a Mooselax club team reserves a limited roster spot and causes Mooselax to make season-long financial commitments.

Accordingly:

  • All team deposits are nonrefundable.
  • Once a player accepts a roster position, all amounts paid or scheduled under the applicable team registration are considered committed to that roster position.
  • Withdrawing from a team does not automatically eliminate unpaid installments or other payment obligations.
  • No refund or credit is guaranteed because a player changes clubs, joins another team, experiences a scheduling conflict, relocates, changes schools, becomes dissatisfied with playing time or position, or elects not to participate.
  • No refund is provided because of coaching decisions, roster assignments, tournament selections, playing-time decisions or competitive-level placement.

If a player withdraws before the beginning of the season and Mooselax is able to fill the vacated roster position, Mooselax may, in its sole discretion, consider a partial refund or program credit. Any approved amount will be reduced by the nonrefundable deposit, payment-processing fees and costs already incurred or committed on the player's behalf.

The ability to fill a roster position does not guarantee a refund or credit.

4. Clinics, Academies and Training Programs

The following guidelines apply to Little Moosers, Herdlings, Academy, MOOSE ADP, Goalies Rule!, Speed with Sair, positional training, seasonal clinics and similar development programs unless different terms are stated during registration.

Cancellation 14 or More Days Before the Program Begins

A family that submits a written cancellation request at least 14 calendar days before the first scheduled session may receive a refund of the program fee, less:

  • Payment-processing and transaction fees;
  • Any stated nonrefundable deposit or registration fee;
  • Uniform, apparel or equipment costs already incurred; and
  • Other nonrecoverable costs specifically committed for that player.

Cancellation 7 to 13 Days Before the Program Begins

A written cancellation request received between 7 and 13 calendar days before the first scheduled session may be eligible for a Mooselax account credit, less nonrefundable fees and costs already incurred.

Cash refunds are not guaranteed during this period.

Cancellation Fewer Than 7 Days Before the Program Begins

No refund or credit will generally be provided when a cancellation request is received fewer than seven calendar days before the first scheduled session.

After the Program Begins

Once a clinic, academy or training program has begun, program fees are nonrefundable except in the limited injury circumstances described below.

Missed sessions cannot be refunded, prorated or transferred to another player.

5. Tryouts, Evaluations and Drop-In Sessions

Tryout, evaluation and drop-in fees are nonrefundable and nontransferable.

Payment reserves space in a limited-capacity session and helps cover fields, coaches, insurance and administration.

A player who does not attend, arrives late or leaves early is not entitled to a refund or future credit.

Payment for a tryout or evaluation does not guarantee selection for a team or placement at a particular competitive level.

6. Player Injuries and Medical Conditions

Mooselax understands that serious injuries and unexpected medical conditions may prevent a player from participating.

A parent or guardian may submit a written request for consideration when:

  • A licensed medical provider determines that the player cannot participate for the remainder of the applicable program or season;
  • The request is submitted within 14 days of the diagnosis or medical restriction; and
  • Reasonable supporting documentation is provided.

If approved, Mooselax may issue a prorated account credit based on the undelivered portion of the program.

Any credit will be reduced by:

  • Sessions or services already delivered;
  • Deposits;
  • Payment-processing fees;
  • Uniform, apparel and equipment costs;
  • Tournament fees;
  • Insurance expenses;
  • Facility expenses; and
  • Other nonrecoverable amounts already incurred or committed.

Medical credits are determined individually and are not guaranteed. Unless Mooselax expressly approves otherwise, injury-related relief will be provided as a future program credit rather than a cash refund.

Minor injuries, temporary illnesses, soreness, short-term restrictions or missed individual sessions generally do not qualify.

7. Schedule Conflicts and Missed Activities

Refunds and credits are not provided for activities missed because of:

  • Family vacations;
  • School events;
  • Participation in another sport or team;
  • Transportation difficulties;
  • Personal scheduling conflicts;
  • Disciplinary consequences;
  • Failure to review the published schedule;
  • Changes in family circumstances; or
  • A player's decision not to attend.

Families are responsible for reviewing program dates, locations and commitments before registering.

8. Weather, Field and Facility Issues

Outdoor sports are affected by weather, field conditions and facility availability.

Mooselax may cancel, postpone, relocate, shorten or reschedule a practice, game, clinic or training session when reasonably necessary for safety or because of circumstances outside our control.

When practical, Mooselax will attempt to provide a make-up session or reasonable alternative. However, make-up sessions are not guaranteed.

No refund or credit is owed for an individual activity affected by:

  • Inclement weather;
  • Unsafe field conditions;
  • Air-quality concerns;
  • Facility closures;
  • Government restrictions;
  • Power outages;
  • Transportation disruptions; or
  • Other circumstances outside Mooselax's reasonable control.

9. Tournament and Opponent Changes

Tournament schedules, opponents, formats, locations and game guarantees may be controlled by third-party tournament operators.

Mooselax is not responsible for a tournament organizer's decision to:

  • Change a schedule or location;
  • Reduce the number or duration of games;
  • Change divisions or opponents;
  • Delay or cancel games;
  • Modify tournament rules; or
  • Cancel an event.

Tournament-related refunds or credits, if any, will depend on amounts actually returned to Mooselax by the tournament operator after deduction of nonrecoverable expenses.

10. Program Changes Made by Mooselax

Mooselax may reasonably change coaches, instructors, fields, facilities, schedules, program formats or training content.

Such changes do not automatically entitle a family to a refund or credit, provided Mooselax continues to deliver a substantially comparable program.

If Mooselax permanently cancels an entire program before it begins, families will receive either:

  • A refund of the program fees paid to Mooselax; or
  • The option to apply the amount paid to another Mooselax program.

Third-party transaction or payment-processing fees may remain nonrefundable.

If Mooselax permanently cancels the remaining portion of a program after it has begun, Mooselax may provide a prorated refund or credit for the portion that will not be delivered, after deducting nonrecoverable costs.

11. Removal for Conduct or Policy Violations

No refund or credit will be provided when a player or family is suspended or removed because of:

  • Violation of a player, parent or spectator code of conduct;
  • Abusive, threatening or disruptive behavior;
  • Repeated attendance or commitment problems;
  • Nonpayment;
  • Safety concerns;
  • Damage to property;
  • Dishonesty or misrepresentation; or
  • Violation of Mooselax, facility, league or tournament rules.

Any unpaid balance may remain due.

12. Uniforms, Apparel and Equipment

Uniforms, apparel and equipment are nonrefundable once ordered, personalized, produced or distributed.

Families are responsible for submitting accurate names, player numbers and sizes by the stated deadline.

Mooselax is not responsible for an item that does not fit when the family ordered or approved the applicable size.

Defective or incorrectly produced items should be reported promptly. Mooselax will work with the applicable vendor to seek a correction or replacement when appropriate, but cannot guarantee the vendor's resolution.

13. Transfers Between Programs

A registration may not be transferred to another player.

At a family's written request, Mooselax may permit a player's payment to be transferred to another Mooselax program when:

  • Space is available;
  • The player is eligible;
  • The request is made before the original program begins; and
  • The transfer does not cause Mooselax to incur an unrecoverable loss.

Transfers are discretionary. Any price difference must be paid, and no cash refund is guaranteed if the replacement program costs less.

14. Payment Plans

A payment plan divides the total program fee into installments. It is not a pay-as-you-go arrangement.

Unless Mooselax approves otherwise in writing, withdrawing from a program does not cancel installments that became due or represent committed program expenses.

Families experiencing financial hardship should contact Mooselax before a payment is missed. We will consider reasonable requests individually but are not required to alter an agreed payment schedule.

15. Refund and Credit Requests

All requests must be submitted in writing to mooselaxlacrosseclub@gmail.com.

Use the subject line:

Refund/Credit Request: Player Name and Program

Please include:

  • Parent or guardian name;
  • Player name;
  • Program or team;
  • Date of registration;
  • Reason for the request;
  • Date participation ended or is expected to end; and
  • Supporting documentation, if applicable.

Submitting a request does not guarantee approval.

Mooselax will review the request, amounts already spent or committed, services delivered and the circumstances involved. We will ordinarily respond within 10 business days.

16. Approved Refunds

Approved refunds will generally be returned to the original payment method when possible.

Depending on the payment provider and financial institution, a refund may take approximately 5 to 10 business days to appear after processing.

If the original payment method cannot be refunded, Mooselax may issue the approved amount through another reasonable method.

Mooselax is not responsible for delays caused by a payment processor, bank or card issuer.

17. Account Credits

Unless otherwise stated in writing:

  • Credits may be used only by the same immediate family;
  • Credits may be applied only to eligible Mooselax programs;
  • Credits cannot be redeemed for cash;
  • Credits cannot be sold or transferred to another family; and
  • Credits expire 12 months after issuance.

A credit does not guarantee admission to a future program or placement on a team.

18. Chargebacks and Payment Disputes

Families should contact Mooselax before initiating a chargeback or payment dispute so that we have an opportunity to review and resolve the concern.

Initiating a chargeback does not cancel a registration agreement, refund policy or valid payment obligation.

Mooselax may provide the payment processor or financial institution with registration records, signed acknowledgments, attendance information, communications and other documentation relevant to the dispute.

19. Exceptions

Mooselax may make an exception when unusual circumstances justify doing so.

Any exception:

  • Must be approved in writing by an authorized Mooselax representative;
  • Applies only to the specific family and circumstances involved; and
  • Does not create a continuing obligation or precedent for other registrations.

20. Policy Changes

Mooselax may update this policy periodically.

The policy accepted at the time of registration will generally govern that registration unless a later change is required by law or is more favorable to the family.
